A receipt is proof that money has already changed hands. An invoice asks for payment; a receipt confirms it arrived. That single difference drives everything else about the document — a receipt is dated when payment was made rather than when work was done, it shows the amount actually received rather than the amount owed, and it does not carry a due date or payment terms because there is nothing left to pay.

When to use a receipt
- A customer paid in cash and needs proof for their own records
- You have been paid in full and the client asks for confirmation for their bookkeeping
- A deposit has been taken and you need to acknowledge it before the work starts
- You are reimbursing or being reimbursed and need an auditable record of the transfer
Number receipts separately from invoices
Keep a distinct sequence — REC-0001 rather than continuing your invoice numbers. Mixing them makes reconciliation harder later and, if you are VAT registered, makes it much harder to demonstrate which document supported which return.
Record the payment method
Cash, card, bank transfer or cheque, and the last four digits of a card if there is one. When a payment is disputed months later this line is usually what settles it. The notes field is the place for it.
A receipt does not replace the invoice
Keep both. The invoice is the record of what was owed and why; the receipt is the record that it was settled. Tax authorities generally expect to see the chain, not just the ending.
